– Contact information, such as your name, email address, phone number, location, and country code.

– Inquiry and intake information, including the content of messages, what you would like help with, scheduling preferences, and information you choose to share about your life, relationships, family, work, or well-being.

– Technical and usage information collected through WordPress, Namecheap, Google Analytics, and related website technologies, such as IP address, browser and device information, referring page, pages visited, approximate location, cookies, identifiers, and interaction data. The exact WordPress form and spam-prevention tools still need to be confirmed.

3. Consumer Health Data

Information voluntarily submitted in an inquiry, Clarity Call form, intake, email, or coaching session may reveal or allow an inference about physical or mental health, psychological or behavioral information, symptoms, diagnoses, treatment, medication, relationships, reproductive or sexual health, disability, or other health-related circumstances. Washington law may treat some of this information as consumer health data.

Categories collected may include psychological or behavioral information, health conditions or symptoms you choose to disclose, information about health-related goals or support sought, and inferences reasonably drawn from your communications or use of services.

Sources include you directly; people who participate with you in couples, family, or sponsored coaching when authorized; website and communications systems; and service providers acting on my behalf.

4. Why I Collect and Use Information

I may collect and use information to:

– Respond to inquiries and arrange a Clarity Call.

– Determine whether coaching may be an appropriate fit and provide requested coaching services.

– Schedule sessions, communicate, maintain notes and business records, process payments, and administer packages.

– Send newsletters or marketing communications when you subscribe or otherwise consent, and honor unsubscribe requests.

– Operate, secure, troubleshoot, and improve the website and services.

– Comply with law, respond to valid legal process, protect safety and rights, prevent fraud or misuse, and obtain professional or legal advice.

I will not collect, use, or share additional categories of consumer health data, or use such data for materially different purposes, without updating the required disclosures and obtaining affirmative consent when the law requires it.

5. How Information Is Disclosed or Shared

I do not sell personal information or consumer health data. I do not share consumer health data for cross-context behavioral advertising. I may disclose information only as reasonably necessary to:

– Service providers that support the business, including WordPress for website content management; Namecheap for website hosting, domain, and related services; Calendly for scheduling; Google Analytics for website analytics; AWeber for email marketing; Goodnotes for coaching notes; Heartland and WaFd for payment processing; Zoom for remote sessions; telephone providers for phone sessions and communications; the website’s form and spam-prevention providers; and professional technology or security support.

– Professional advisers, such as an attorney, accountant, insurer, or confidential consultant, when reasonably necessary and subject to appropriate duties.

– Government authorities, courts, law enforcement, or other parties when required by law, valid legal process, or a serious and immediate safety need.

– A successor or counterparty in a potential business transfer, subject to appropriate confidentiality and legal safeguards.

– Another person when you direct or authorize the disclosure.

6. Cookies, Analytics, and Advertising

The website uses Google Analytics, which may use cookies and similar technologies to collect information about visits and interactions, including device, browser, approximate location, referral source, pages viewed, and engagement data. This information is used to understand website use and improve the site and services. WordPress, Namecheap, Calendly, embedded content, and spam-prevention tools may also place or access cookies when their features are used. Before publication, the VA should confirm whether Google Tag Manager, Meta Pixel, Hotjar, reCAPTCHA, or any other analytics, advertising, or tracking tool is installed; document available opt-out controls; and implement an appropriate cookie notice or consent mechanism where required.

7. Email Marketing

If you subscribe to emails, AWeber processes your email address and related subscription or engagement data to send and manage those communications. You may unsubscribe using the link in a marketing email. Unsubscribing from marketing does not prevent necessary service or transaction messages.

8. Payments

Heartland processes card payments through Wendy Lynne Coaching’s banking relationship with WaFd. Payment providers process payment credentials under their own privacy and security practices. I may retain transaction date, amount, payment status, and related accounting records, but I do not intend to store complete card numbers.

9. Coaching Notes and Communications

I may keep coaching notes in Goodnotes and may retain emails, texts, website forms, intake responses, Calendly scheduling information, Zoom-related session information, telephone communications, and business records. These records may contain sensitive personal or consumer health information. Goodnotes cloud synchronization, device security, account access, and backup practices should be reviewed before this policy is finalized.

10. Retention

I generally retain coaching agreements, coaching notes, material client communications, and related client records for seven years after coaching ends. Routine scheduling and Calendly information may be deleted after one to two years. Clarity Call inquiries that do not become client relationships may generally be deleted after one year, or sooner when a valid deletion request can legally be honored. Payment and tax records may be retained as required for accounting, insurance, tax, or legal obligations. AWeber retains subscription information while a person remains subscribed and may retain a limited suppression record after an unsubscribe. Records may be kept longer for an unresolved complaint, dispute, legal hold, safety matter, or other legal obligation. At the end of the applicable period, information is securely deleted or destroyed. Backups or service-provider systems may retain information for a limited period after deletion.

11. Security

I use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No method of transmission or storage is completely secure, and I cannot guarantee absolute security. Please do not submit urgent or highly sensitive information through ordinary email or website forms unless necessary.

12. Your Privacy Rights

Depending on where you live and the law that applies, you may have the right to request access to, confirmation of, correction of, or deletion of personal information; to withdraw consent; to obtain a copy of certain consumer health data; and to appeal a refusal of a consumer health data request. You may also unsubscribe from marketing at any time.

To make a request, contact wendy@wendylynne.com and write Privacy Request in the subject line. I may need to verify your identity. An authorized agent may submit a request where permitted by law, subject to verification of authority. I will not unlawfully discriminate against you for exercising privacy rights.

If a request concerning Washington consumer health data is denied, you may appeal by replying to the denial or writing a Privacy Appeal to the same address. The response will explain the decision and, where required, how to contact the Washington Attorney General.

13. Consent and Withdrawal

When required, I will ask for affirmative consent before collecting or sharing consumer health data. You may withdraw consent by contacting me, but withdrawal will not affect processing already completed lawfully and may limit my ability to provide requested services. A separate signed authorization will be used before selling consumer health data; Wendy Lynne Coaching does not sell consumer health data.

14. International Visitors

Wendy Lynne Coaching is based in Washington State, United States. If you provide information from another country, it may be processed in the United States or in other locations used by service providers. Privacy rights vary by jurisdiction.

15. Children and Minors

The website is not directed to children under 13, and I do not knowingly collect their personal information through the website without appropriate authorization. Parent or family coaching involving a minor requires separate consideration of consent, records, communications, and privacy expectations.

16. Third-Party Links

The website may link to third-party sites or services. Their privacy practices are governed by their own policies, and I am not responsible for their content or practices.

17. Changes to This Policy

I may update this Policy as practices or legal requirements change. The effective date will be revised when the Policy changes. If a change materially affects consumer health data, I will provide notice and obtain consent when required.
